Production Coordinator (Regular/Full-time)

Reports To: Senior Manager of Creative Services
Employment Status: Regular/Full-Time
The Production Coordinator is responsible for coordinating materials (scheduling, estimates, production, and deliver), on time and within budget.
• Monday – Friday, 9am – 5pm, with some evening and weekends required as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
• Provides expertise regarding postal and delivery issues for direct mail projects.
• Acts as a liaison between the High Museum of Art and the USPS.
• Coordinates timeline management of internal clients and external suppliers.
• Provides notification to internal clients if timeline is compromised in the process.
• Offers consulting services in data-driven personalization technology and print capabilities for internal clients, to include common imaging technologies, papers, and ore supplier’s capabilities and limitations.
• Works within the approved budget.
• Reconciles and codes invoices.
• Clarifies direction from internal departments and manages expectations regarding deliverables.
• Ensures all deliverables for a requested project are met.
• Provides competitive sourcing on projects.
• Stays up to date with new printing and customization technology.
• Follows and supports departmental procedures.
• Develops and coordinates project timelines and task list.
• Coordinates multiple projects simultaneously.
• Reviews creative material to ensure specifications match those estimated.
• Interacts daily with departments to insure timely completion of projects.
• Highly knowledgeable of the production and printing industry.
• Attends meetings as directed by the Senior Manager of Creative Services.
• Assists in any other project assignments as approved by the Senior Manager of Creative Services.
• Works with vendors to maintain the highest possible quality.
• Maintains archives, both hard copy and digital.
• Performs other tasks as needed.

Education and Experience:
• Bachelor’s degree and 4+ years experience in account (Printing coordination)
• Museum or non-profit work experience is a plus.
• Copyediting experience is a plus.
• Proficiency in Microsoft Office Suite.
Skills and Abilities:
• Knowledge of commercial production, prepress, and printing.
• Knowledge of direct mail strategies and program execution.
• Knowledge of circular production involving direct mail, collateral, and signage.
• Highly knowledgeable in various forms of personalization.
• Knowledge of postal requirements.
• Ability to effectively present information both verbally and technically.
• Excellent writing skills.
• Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
• Ability to solve problems and prioritize needs in a variety of situations.
• Ability to handle multiple projects simultaneously in a fast-paced environment.
